Service-Based Refund Policy

Due to the custom nature of our software development services, refunds are handled on a case-by-case basis. Once work has commenced on a project, the time and resources invested cannot be recovered, which affects our refund policy.

Refund Eligibility

You may be eligible for a refund in the following circumstances:

Before Project Commencement

  • If you cancel your project before work has started, you are eligible for a full refund minus any administrative fees (typically 5-10% of the project value)
  • Refund requests must be submitted in writing via email
  • Refunds will be processed within 14 business days of approval

During Project Execution

  • If you wish to cancel during active development, you will be charged for all work completed up to the cancellation date
  • Any unused portion of your payment may be refunded after deducting completed work
  • Milestone-based projects will be charged based on completed milestones
  • Hourly projects will be charged for actual hours worked

Service Quality Issues

  • If deliverables do not meet the agreed-upon specifications outlined in the project agreement, we will first attempt to remedy the issues at no additional cost
  • If issues cannot be resolved after reasonable attempts, a partial refund may be considered based on the severity and impact
  • You must report quality issues within 30 days of delivery

Non-Refundable Items

The following are generally non-refundable:

  • Completed work that meets the agreed-upon specifications
  • Discovery and planning phases once completed
  • Third-party services, licenses, or subscriptions purchased on your behalf
  • Hosting fees, domain registrations, or other external costs
  • Consultation or advisory services already rendered
  • Custom design work that has been approved by the client

Project Changes and Scope Adjustments

If you request changes to the project scope after work has begun, additional charges may apply. Changes that reduce the project scope do not automatically qualify for refunds of previously agreed-upon fees, as resources have already been allocated.

Refund Request Process

To request a refund:

  1. Submit a written refund request to billing@equibre.com
  2. Include your project details, invoice number, and reason for the refund request
  3. Our team will review your request within 5 business days
  4. We may schedule a call to discuss the issues and potential solutions
  5. If approved, refunds will be processed within 14 business days
  6. Refunds will be issued to the original payment method

Dispute Resolution

If you are not satisfied with our refund decision, we encourage you to contact our management team to discuss the matter further. We are committed to finding fair solutions for all parties involved.

Payment Reversals and Chargebacks

We request that you contact us directly to resolve any billing disputes before initiating a chargeback with your payment provider. Chargebacks may result in:

  • Immediate suspension of all services
  • Withholding of project files and deliverables
  • Additional administrative fees
  • Termination of the client relationship

Warranty Period

Most projects include a warranty period (typically 30-90 days) after final delivery during which we will fix bugs and issues at no additional cost. This warranty period does not extend the eligibility window for refunds.

Special Circumstances

We understand that exceptional circumstances may arise. Cases involving force majeure, serious illness, or other extraordinary situations will be evaluated individually with compassion and fairness.
